Research Data Management: Data Access Statements and Licensing

Research Data Management (RDM) Library guide

Data Access Statements

A Data Access Statement must be included in all published research articles describing where underlying research data and supporting documentation associated with the paper are available, and how they can be accessed.

Data Access Statements are required by some funders, such as UKRI. A Data Access Statement should include the following:

  • Whether the data is freely available, restricted, or unavailable.
  • Where data is available, state the name of the repository hosting the data along with a persistent identifier.
  • If access is restricted, provide a link to a permanent page describing the conditions for access and how users can apply.
  • If there are legal or ethical reasons why the data cannot be shared, state them.

Examples of Data Access Statements

Openly available datasets Research data supporting this publication are available from the [insert repository name] repository at [insert DOI].
This study used multiple datasets from several different sources. Full details of how the data was obtained are available in the documentation available from the [insert repository name] repository at [insert DOI].
Restricted access datasets Due to [ethical / commercial] concerns access to the supporting data is restricted. Access conditions and procedures are available from the [insert repository name] repository at [insert DOI].
This study used multiple datasets from several different sources. Full details of how the data was obtained, along with access conditions, are available in the documentation available from the [insert repository name] repository at [insert DOI].
Data unavailable No data were created during this study. All the information needed to verify findings are included in the paper.
Due to [ethical / commercial] concerns, supporting research data will not be retained or shared.
