Which version should I upload?

Which version?

The final pre-publication version, which is the ‘author accepted manuscript’ (AAM) or the ‘post-print’ copy is the standard version required for self-archiving in the institutional repository.

It is the version of your output that

  • has been accepted for publication
  • has been peer-reviewed
  • but has generally not yet had the publisher's layout and typesetting applied

This can often be a Word version of your publication but some publishers work with templates from the submission stage so it is necessary to store all versions of your output until you receive confirmation of acceptance.

Most publishers allow this (and only this) version to be made available in an open access repository, usually after an embargo period has passed.

This is also known as the author's final version.

Sherpa/ Romeo (www.sherpa.ac.uk/romeo) is a valuable service site offering information on publisher copyright policies and self-archiving.

 

Publisher copyright and BURO

Once you have uploaded your full text document onto BRIAN, the file is verified by the BURO team for its legality, before this becomes visible on your external staff profile page.

A CC-BY-NC licence (Creative Commons Attribution Non-Commercial ) will be applied to your author accepted manuscript unless the publisher requests otherwise. This is the default licence for BU authors. See Publications Policy & Procedures 5.2.6

Uploading your full text to BRIAN

If you are unsure of how to upload the full text of your publication onto BRIAN to be deposited in BURO, these are the three easy steps you can follow!

Step 1 – Ensure publication record already exists in your BRIAN account. If it does not, click on the ‘+’ sign to add it

You will see a search box on the following page. Enter the title of your publication in the search box. If the record of your publication already exists within BRIAN, you simply need to scroll to it and ‘claim’ it. Otherwise, scroll to the bottom of the page and click on ‘create manual entry’. You can then populate all relevant information of your publication on the following page. Don’t forget to scroll to the bottom to ‘save’ your record!

 

Step 2 – Once the publication record exists within BRIAN, click on the blue arrow up icon, and you will be taken to the deposit page

 

 

Step 3 – Locate the correct version of your full text in accordance with the policy advice from Sherpa Romeo; and then click ‘upload’.

When the upload is complete, you will be notified on the screen that your full text is under review by the BURO team. Once the BURO team has checked for copyright compliance and published  the output, the link to the full text in BURO will be created and the link will also appear on your Staff Profile Page.
